Lotus Notes Mail-in Databases
Lotus Notes mail-in databases are used by departments, programs, projects or committees that have a need for business e-mail communication. It is just like a regular Notes e-mail database except it is not associated with any one person.
There are many advantages to using a mail-in database as opposed to your personal e-mail for University business:
- Important departmental communications reside in one place.
- Mail can be answered by many people which allows for business continuity during vacation or sabbatical periods.
- The workload can be spread to more people.
- When business roles change (i.e. a new Chair is named), access can be granted or removed quickly. Mail and important documents do not have to be moved from one personal e-mail database to another.
- You can easily access both your personal e-mail as well as the mail-in database in Lotus Notes.
How to Obtain a Lotus Notes Mail-in Database
If you would like to request a Lotus Notes mail-in database, please e-mail Notes Admin with the following:
- Desired database name
- Names of the access controllers
- Names of the individuals who will be given permission to access the mail-in database
